Reporting to the Campus Manager, Kirkland Lake, the successful candidate will perform receptionist duties for the campus, provide general clerical services, prepare and process bank deposits, arrange invoices for payment, and reconcile and verify financial records. The successful candidate is also responsible for external inquiries regarding the rental of rooms, cafeteria, auditorium, and gymnasium on the Kirkland Lake Campus.

What you will be doing:

  • Provide full telephone reception services and respond to routine inquiries;
  • Direct external and internal customers/students appropriately;
  • Prepare, collect and sort all incoming and outgoing correspondence;
  • Direct and guide students with issues to appropriate services;
  • Verify invoices in preparation for payment and resolve payment and invoicing issues;
  • Handle, balance and prepare cash receipts, bank deposits, and bank reconciliations;
  • Complete and input employee assignments into MIS for Human Resources’ approval;
  • Respond to external inquiries regarding the rental of rooms, the cafeteria, the gymnasium and the auditorium;
  • Ensure that facilities are available; schedule bookings as requested; and respond to renters accordingly;
  • Coordinate with Caretaking staff, Plant and Property staff and Information Technologists as requested and required; and
  • Ensure proper set up and/or equipment is in the room being rented

What you will need to be considered:

  • One (1) year Certificate in Office Administration or a related/relevant field;
  • Minimum two (2) years of relevant experience, including dealing with the public, students, and staff to solve problems and conflicts;
  • Experience with record management and office computer programs: and
  • Class G Driver's License is an asset.

The successful candidate will have excellent verbal and written communication skills, organizational skills, and problem-solving skills. As well as the ability to multitask and prioritize competing requests.
